    Onboarding instructions

The onboarding checklist is a Notion page last edited for a role that no longer exists. Required documents and training links 404, and the timeline is 'ask the last person we hired'.

Hypervault stores position, checklist, required documents, and training materials in an encrypted EU vault, with permissions for HR and the hiring manager for that role.

Why store Onboarding instructions in a digital vault

The checklist is for a different department

IT steps land on a sales hire. Position and department on the item keep the path accurate.

Required documents are a verbal list

Day-one stalls on a missing ID scan. Required documents as a field is what the new hire actually prepares.

    Training materials are stale links

LMS URLs rot. Attachments and current links on the vault item are the pack you still own.

Timeline is 'the usual two weeks'

Managers improvise. Timeline on the instructions is the shared plan for HR and the lead.

    Who uses this template

    HR coordinators

Keep role-specific checklists, documents, and training in one vault item.

    Hiring managers

Follow the timeline without reinventing onboarding in a private doc.

    IT joining the new-hire path

See required access steps under permissions without the whole HR folder.

    Fields in this template

Keep every record complete and easy to find. Existing fields stay as they are; extras are added only when a vault item would otherwise be incomplete.
