Notary deeds
Deed scans sit in a notary's portal that expires and in a director's personal cloud. Deed number, notary name, and parties are retyped for every bank, and the operative deed is not the one in the folder.
Hypervault stores deed number, notary, date, parties, and the file in an encrypted EU vault, with permissions for directors, counsel, and the notary you still work with.
Why store Notary deeds in a digital vault
The portal login died with the last notary
You cannot retrieve the deed. Attachments in your vault are independent of that office.
Deed number is in the PDF filename
Banks want the number in a form. Deed number and date as fields are copy-accurate.
Parties on the deed changed after a transfer
The old scan is still the one people send. Parties involved on the current item must match the operative deed.
Document type is mixed: sale, mortgage, minutes
A dump of 'notary' files cannot be filtered. Type on each item keeps the minute book usable.
