    Documents

The working file is in someone's Downloads, the 'official' copy is in email, and tags exist only in the author's head. Version conflicts waste a day every time a policy or briefing is reused.

Hypervault stores document name, type, version, and attachments in an encrypted EU vault, with permissions so authors and the teams that rely on the file see the same copy.

Why store Documents in a digital vault

Version is in the filename only

v2 and v2_final both circulate. A version field plus date created is how you know which file to send.

Category is a nested folder maze

People file by habit, not taxonomy. Category and tags on the item make retrieval independent of folder taste.

Author is whoever last emailed it

Ownership for updates is unclear. Author on the vault item is accountable for the next revision.

Type is everything from minutes to manuals

A generic dump cannot be filtered. Document type keeps briefings, forms, and records separable.

    Who uses this template

    Operations coordinators

Keep named documents with type, version, and author instead of a catch-all Drive.

    Team leads

Share the current file via vault permissions rather than attaching last week's export.

Admins who own the filing system

Tag and categorise without building another nested folder tree.

    Fields in this template

Keep every record complete and easy to find. Existing fields stay as they are; extras are added only when a vault item would otherwise be incomplete.

    How it works in Hypervault

    Create from the template

Add an item from the Documents template in your workspace.

    Fill and attach

Complete the fields and attach supporting files where needed.

    Share with the right roles

Give access only to the people who maintain or use this record.

Store it in a vault, not a spreadsheet

Create a workspace, pick this template, and keep credentials and supporting files encrypted in the EU.
