    Claims

Claim numbers, photos, and correspondence live in the broker's portal and a claims handler's mailbox. When the file is queried six months later, the incident date and supporting docs are no longer together.

Hypervault stores claim number, incident details, amount, and evidence in an encrypted EU vault, with permissions for operations, finance, and the broker who needs the file.

Why store Claims in a digital vault

Photos never make it into the official file

Site pictures sit on a phone or in WhatsApp. Attachments on the claim item keep evidence with the claim number.

Status is whatever the last email said

Open, reserved, paid, and declined get mixed. A status field on the vault item is readable without opening the thread.

Claimant details leak into a shared ops folder

Names and contact data sit next to unrelated job files. Permissions keep claimant information to the people on the claim.

The broker's portal is the only copy

When the policy moves, history stays with the old broker. Your vault keeps number, type, amount, and docs independently.

    Who uses this template

    Claims handlers

Keep incident date, amount, status, and supporting documents on one vault item.

    Operations managers

Hand finance a structured claim record instead of a forwarded broker email.

    Brokers and insurers

Receive a permissioned pack of evidence without a zip of personal inboxes.

    Fields in this template

Keep every record complete and easy to find. Existing fields stay as they are; extras are added only when a vault item would otherwise be incomplete.

    How it works in Hypervault

    Create from the template

Add an item from the Claims template in your workspace.

    Fill and attach

Complete the fields and attach supporting files where needed.

    Share with the right roles

Give access only to the people who maintain or use this record.

Store it in a vault, not a spreadsheet

Create a workspace, pick this template, and keep credentials and supporting files encrypted in the EU.
