Approved designs & layouts
The 'final' layout is still the file named FINAL_v7_USE_THIS in a designer's personal Drive. Printers, agencies, and product teams pull different versions and the brand drifts.
Hypervault holds the approved design, version, sign-off, and specs in an encrypted EU vault, with permissions for marketing, agencies, and whoever actually ships the asset.
Why store Approved designs & layouts in a digital vault
Version 7 is still in circulation
Older exports stay in Slack and printer queues after a new lock. Version plus approval date on the item is the source of truth.
Sign-off is a thumbs-up in Figma comments
Legal or brand never recorded who approved. Approved-by and approval date survive the comment thread.
Specs live in a separate Notion page
Colour, spacing, and crop rules get detached from the file. Specifications and brand guidelines belong with the layout.
Agencies keep a local 'master'
External studios ship from last year's pack. A permissioned vault item replaces the USB and the email zip.
Who uses this template
Brand and marketing leads
Lock the approved layout with version, sign-off, and brand guidelines in one place.
In-house design teams
Hand printers and product a vault item instead of another 'final' export.
External agencies
Work from the current approved files without retaining a private copy of every revision.
Fields in this template
Keep every record complete and easy to find. Existing fields stay as they are; extras are added only when a vault item would otherwise be incomplete.
